2004 Synod Assembly

Resolutions and elections. The assembly will elect individuals to serve on synodical teams and committees, and 2005 churchwide assembly voting members. Nomination form for synod teams and committees is available here (pdf format - you must have Adobe Acrobat Reader installed on your computer to read this document. Who may register as a voting member?
Voting members to the Assembly will be the following:
1. All clergy and AIMS under call on the roster of the Southeastern Minnesota Synod
2. The formula for congregational voting members for the synod assembly is

  • two lay voting members elected/chosen by each congregation

  • plus additional lay voting members based on 2002 baptized membership
    (to determine baptized membership, refer to the Congregation Roster in the 2003-2004 Synod Handbook):
    901-1500, 1 additional; 1501-2100, 2 additional; 2101-2700, 3 additional; 2701-3300, 4 additional; 3301-3900, 5 additional; 3901-4500, 6 additional

  • The total lay voting members from any congregation should be as nearly as
    possible 50% male and 50% female.

3. Members of the synod council and conference deans.
4. All retired clergy and AIMs on the roster of the synod shall elect 10% of their number to serve as voting members; all other retired clergy and AIMs shall be advisory members with voice but no vote. People from these groups should not be elected as congregational voting members.

Who may register as a visitor?
Any interested person may register as a visitor to the assembly.

Cost
Registration is $110. A late fee of $15 will be charged for registrations postmarked
after Feb. 20.

Meals
Registration fees include the following meals:
Friday, April 23: Continental breakfast, lunch, banquet dinner
Saturday, April 24: Continental breakfast and lunch
Additional banquet tickets may be purchased for $25 per person. Indicate the extra
number on the registration form and include a check to cover the cost. Banquet
tickets are non-refundable, but may be transferred.
Your name badge is your meal ticket. Wear it at all times!

Pre-Assembly Report
Everyone who has pre-registered as a voting member by Feb. 20 will receive in the mail the Pre-Assembly Report (mailed the week of March 15). This report and the assembly folder you will receive at on-site registration will provide you with the information needed to make your assembly experience a good one. Read the report thoroughly and bring it with you to assembly. This report is also available for download on our web site.

Housing
There is a block of rooms available for the assembly at the Radisson Plaza Hotel, Rochester. This block will be held until April 1. To make your reservation, call Radisson Worldwide Reservations at (800) 333-3333 or (507) 281-8000. You or your congregation are responsible for paying for your room. Child Care
If child care is needed, you are encouraged to contact your own provider.

Special Needs
Hearing amplifiers are available. You may request one on your synod assembly registration form. If you have other special needs, contact the synod office before noon on Wednesday, April 14, at (800) 426-6376 or (507) 280-9457.

Excused Absences
Rostered personnel who are unable to attend the Assembly and congregations unable to send any voting members are requested to send a letter to the Bishop asking to be excused.

Refunds
No request for refunds will be honored after noon on Wednesday, April 14, 2004.

Clothing
The Mayo Civic Center is climate controlled. You may want to dress in layers and wear your walking shoes so you are comfortable as you move from one area of the center to another.

No Smoking
No smoking is permitted in the Mayo Civic Center.

Environmental Stewardship
Please help recycle by returning all name badges, voting cards, unwanted paper, and completed evaluation forms to the appropriate boxes upon leaving the assembly. Also, please bring your own beverage mug. Throw-away cups are provided for drinks, but their use is discouraged.

Board of Pensions Representatives
Representatives from the Board of Pensions are present at the assembly and are available to answer congregational questions and provide specific information to those who are covered by the plan. Appointments are not necessary.
